Take control of subscription renewals with flexible renewal points in ActivePlatform

For cloud resellers, subscription renewals are a daily part of business — but they also present financial and operational risks if not handled with care. Timing matters. Create a renewal order too early, and you may lock the customer into conditions they later want to change. Wait too long, and you risk a service interruption.

To help resellers and their customers find the right balance, ActivePlatform offers a flexible set of tools: renewal points.

These configuration settings define exactly when renewal operations become available — both manual and automatic — giving you the control you need over timing, resource planning, and customer expectations.

Let’s break it down.

Manual renewal point: Enable early planning for customers

Customers often want to renew a subscription in advance — to match internal budgeting cycles, avoid last-minute changes, or plan service continuity during holidays and critical periods.

With the manual renewal point, you define the number of days before expiration when:
  • The "Renew" button becomes available in the Customer Control Panel
  • Customers can manually initiate a renewal order
  • This includes both standard renewals and, if enabled, delayed manual switch orders (renewal with switching to another plan)

✅ Example: If the manual renewal point is set to 15 days, customers will only see the Renew option starting from 15 days before the subscription ends — no earlier.

This approach:
  • Prevents premature renewals
  • Helps reduce refund requests and customer confusion
  • Ensures your sales cycle aligns with actual service timelines

Delayed manual switch point: Controlled flexibility when switching plans

If your offering supports renewal with switch plan, you can set a separate delayed manual switch point. This value controls when customers can prepare a renewal order that includes a plan change, but with the switch becoming effective only at the next renewal.

By configuring this point separately, you allow more time for customers to explore options and make informed decisions — without enabling full early renewals that may carry risk.

Automatic renewal point: Automate with precision

For subscriptions with auto-renewal enabled, ActivePlatform can automatically create a renewal order a set number of days before expiration.

This automatic renewal point determines when that order will be created.

You can:
  • Set it to a number of days (for example, 7 days before expiration)
  • Or choose 0, which means the order is created on the day of expiration

💡 Important to know: Once the renewal order is created, the subscription is locked for changes — users can no longer adjust the number of licenses or perform other actions. That’s why it’s important to configure the timing carefully based on the product type and your sales flow.

Benefits of early automation:
  • Allows time for customer approval or invoicing before the new term starts
  • Reduces workload for account managers
  • Prevents missed renewals while still giving flexibility in the final days

Summary: Stay in control of subscription renewals

ActivePlatform’s renewal point system gives you a precise way to manage when renewals begin — whether initiated by the platform or the customer. With just a few settings, you can:
  • Improve customer experience by making renewals timely and clear
  • Prevent last-minute support issues or missed payments
  • Adapt renewal behavior for different products or customer needs
💬 And don’t forget — a well-timed renewal also depends on flexible notifications and reminders, ensuring your customers are informed and ready to act when the time comes.
